How to select and manage multiple contacts in Crisp

This article explains how to select several contacts at once in Crisp and apply bulk actions to manage them faster.


Multi-selection helps you update and organize contact profiles without opening each profile manually.


You can use it to add segments, add custom data, copy profile links, export selected contacts, or remove several profiles at once.


In this guide, you will learn how to:



Select multiple contacts


From the Contacts section, you can select several profiles directly from the contact list.


To select contacts:


  1. Click the checkbox next to a contact
  2. Use Shift + click to select a range of contacts
  3. Use Shift + arrow up / down to extend your selection
  4. Click Select all to select up to 100 contacts
  5. Use CMD + A or CTRL + A to select all visible contacts
  6. Use CMD + Delete to delete selected contacts


You can select up to 100 contacts at once. If you need to update more contacts, repeat the action on another selection.



Use bulk actions


Once contacts are selected, open the Actions menu to apply an action to all selected profiles.



Available bulk actions include:


  • Add segments
  • Add data
  • Copy links
  • Remove selected profiles
  • Export selected profiles


You can also import contact profiles from the same menu, but this action does not require selecting contacts first.


Bulk actions are useful when you want to clean your contact list, update a group of users, share selected profiles, or organize contacts based on shared properties.



Add segments to multiple contacts


Segments help you group contacts based on shared traits, behavior, or business context.


For example, you can add a segment to contacts who attended an event, belong to a specific customer group, or need to be targeted later in a campaign.



To add segments in bulk:


  1. Select the contacts you want to update
  2. Open the Actions menu
  3. Click Add segments
  4. Select or create the segments you want to add
  5. Confirm the action


Existing segments are preserved. New segments are added to the selected contacts.

Add custom data to multiple contacts


Custom data lets you attach structured information to contact profiles, such as a plan, role, account status, customer type, or internal qualification.


This is useful when several contacts should share the same property.



To add custom data in bulk:


  1. Select the contacts you want to update
  2. Open the Actions menu
  3. Click Add data
  4. Choose a custom data key
  5. Add the value you want to apply
  6. Confirm the action


If a selected contact already has the same custom data key, Crisp replaces the existing value with the new one. Other custom data remains unchanged.


Before adding custom data in bulk, make sure the key and value apply to every selected contact.

Copy links to selected contacts


You can copy profile links for several selected contacts at once.


This is useful when you need to share a list of specific contacts with a teammate, report an issue internally, or review a group of profiles later.


To copy links in bulk:


  1. Select the contacts you want to share
  2. Open the Actions menu
  3. Click Copy links
  4. Paste the copied links wherever you need them


Each copied link points to one selected contact profile.



Export selected contacts


You can export selected contact profiles when you need to work on a specific group of contacts outside Crisp.


For example, you can export a list of leads, customers, event attendees, or users matching a manual selection.


From the Contacts section, Crisp gives you three export options:


  • All contacts → export your full contact list
  • Filtered contacts → export contacts matching your current filters
  • Selected contacts → export only the contacts you manually selected


To export selected contacts:


  1. Select the contacts you want to export
  2. Open the Actions menu
  3. Click Export selected profiles
  4. Confirm the export


This helps you export only the profiles you need, without downloading your full contact database.



Remove selected profiles


You can also remove several contact profiles at once.


This can help you clean test contacts, duplicates, outdated records, or contacts that should no longer appear in your workspace.


To remove selected profiles:


  1. Select the contacts you want to remove
  2. Open the Actions menu
  3. Click Remove selected profiles
  4. Confirm the action


Removing selected profiles is a bulk action. Always review your selection before confirming.



Best practices


Before applying a bulk action, check that every selected contact should receive the same update.


Use bulk actions when contacts clearly belong to the same group or need the same change.


Good examples:


  • Add a newsletter segment to several subscribers
  • Add a plan custom data value to a group of customers
  • Copy links to contacts that need to be reviewed by a teammate
  • Export a selected group of leads
  • Remove test contacts from your workspace


Avoid applying segments or custom data too broadly, as it can make your contact list harder to use later.
